Register attendance at classes and get support with the SEAtS mobile app

We use the SEAtS app to monitor attendance across our classes to help you get the best outcomes. Find out how to get the app, use it, and solve any common issues

SEAtS is an easy to use app that can be downloaded on a mobile phone. Students can only register attendance on a mobile phone via the SEAtS app, and not from a laptop or PC. Recording attendance is mandatory in accordance with the University’s Attendance Monitoring Policy.

Download the app

The SEAtS 2024 mobile app is available for iOS and Android devices. We recommend you download this before your classes begin so it is ready to use right away.

 

  1. Connect to eduroam wifi

You can use University wifi to download and run the SEAtS app, Use this guide to connect to eduroam.

 

  1. Download the newest version of the app

  1. Enable app permissions

  • Enable Bluetooth on your phone
  • Enable location services for the SEAtS app
  • Enable automatic updates for the SEAtS app

 

Once you’ve downloaded the app, login using your University username and password.

If you have a username that doesn’t include your ID number make sure you enter it correctly.

What is SEAtS for?

SEAtS is for all students on taught programmes (undergraduate and postgraduate courses). It allows you to check in to classes, track your attendance percentage and view upcoming classes.

The University monitors attendance data for all students so that we can be proactive in providing support to students who are struggling to attend their classes. There is strong evidence that regular attendance at classes and academic performance are closely linked, and that early intervention when a student’s attendance drops below a certain threshold can provide the help and support needed to keep them on track. 

In addition, student visa holders have minimum attendance requirements as part of their visa conditions, and we want to ensure that we help students adhere to these.

How to check in

On-campus classes

For teaching activities on City, Ninewells, and Kirkcaldy campuses, the app connects to Bluetooth beacons in teaching spaces. If your Bluetooth is turned off, your app will ask you to turn it on before you can check in.

  • Once you have entered your classroom, open the app and click the 'check-in' icon that appears on your home page.
  • The ticket for checking in to an on-campus class will be outlined in green, and will then turn solid green, indicating a successful check-in.
  • You will only be able to check in 5 minutes before the start of your class and 15 minutes after class has started, so ensure that you check in as soon as you get to class.

 

Online classes

You should also register your attendance at online timetabled activities.

  • Open the app.
  • Click the watch link.
  • Once confirmed that you have checked in, close the confirmation screen.
  • Access the lesson using your preferred device, i.e. laptop or PC.
  • You will only be able to check in 5 minutes prior to class commencing and 15 minutes after class has started.  

You can see that you have successfully checked in by looking at your own attendance dashboard in SEAtS.

 

Unable to Check In

  • If you have been unable to check in to an in person class you must go to your School office within 24 hours of that class and ask to be manually checked in.  
  • If you have been unable to check in to an online class you should email your School office within 24 hours of the online class and ask to be manually checked in.

Timetable and absence issues

The University starts monitoring student attendance from the first day of teaching, however we are aware that timetables can change a lot during those first few weeks due to module changes and class timing changes. This will be considered when students are contacted regarding their attendance.

If students are unable to attend a class due to a medical appointment or illness, the School office should be contacted to arrange for the absence to be authorised if possible.

If module selections have recently been updated it may take a few days for the system to fully update and the correct classes be shown. 

If no classes are shown at all the School office should be contacted. 

Cancelled classes will be removed from the SEAtS app within 48 hours of the cancellation.

For any questions regarding timetables or authorised absences, contact the School office in the first instance. 

If Student Visa holders have concerns regarding attendance the immigration compliance team are also on hand to answer questions and provide support and can be contacted on ImmigrationCompliance@dundee.ac.uk.

Technical issues 

In the unlikely event that you are unable to check-in some technical problems that may be causing the issue are listed below.  

 

Issue – 'Not available' message when attempting to check in on campus. 

Resolution – Clear the cache on your mobile device: 

Android users: Enter settings, then privacy, then scroll until you reach 'clear browsing data'. Then check 'cookies and site data' and tap 'clear data'.

Apple users: Enter settings, then Safari, then scroll down to 'clear history and website data' and then tap 'clear history and data'.

 

Issue – Android phone that does not have the Google Play Store.

Resolution – Without Google Play the SEAtS app cannot be downloaded on android phones. You must email the school attendance mailbox each day confirming the list of classes attended, confirming the module code, activity, date and time. This is only for students that are unable to download the app as their phone does not have the Google Play store.

 

Issue – Android phone app not working.

Potential resolution 1 – Check for an update by opening Google Play and then clicking on your account, click on 'manage apps and device', tap 'see all' under the updates available and look for SEAtS and then click 'update'.

Potential resolution 2 – Clear the cache on your mobile device as detailed above. 

 

Issue – Ticket is going amber when attempting to check in.

Resolution – Force close the app by closing the app and swiping up on the home screen and then up on the app to close it.

 

Issue – No watch link for an online class.

Resolution – Check your calendar in the SEAtS app, if the activity has a room number it has been set up as an in-person class and not an online class. You should email your school office and inform them that this is a class that requires you to attend online and ask that your attendance be manually recorded. 

 

Issue – On campus teaching activity showing as 'searching' in the SEAtS application.

Resolution – 'Searching' means that the app is searching for the ibeacon associated with your timetabled room. If you are in the room that is timetabled and appearing on the app, ensure that Bluetooth is turned on and location services are on for the SEAtS app. If they are on, try cancelling the search and pulling down the screen to reload and try again. If it still doesn’t work try closing the app and reopening. Moving close to the ibeacon may also help resolve the issue. 

If the timetabled class has moved to a different room than the one timetabled all students attending this class will need to be manually checked in by the School office. 

 

If the issue you are having still cannot be solved using the above steps, contact your School office using the email address listed under the 'unable to check in' section of this guide and complete the Check-In/SEAtS help4U form, detailing your problem and including a full screenshot that shows the activity, time, and date.
